# 02: The Challenge

## Fragmented data across disconnected spreadsheets.

SIBECO's workflow spans several distinct steps: lead capture, detailed quoting, field execution, daily expense tracking, and invoicing. When each of these stages lived in separate files, the team faced repetitive data entry, inconsistent document formatting, and difficulty calculating per-job profitability in real time.

The team preferred to stay within Google Sheets — the tools they already knew — rather than adopt a generic enterprise ERP system.

- **No Central Project Ledger**: Projects lacked a single master record connecting client details, quotes, execution stages, and payment receipts.
- **Manual Document Assembly**: Quotes and invoices were built line by line without standardized catalogue selection or consistent formatting.
- **Delayed Margin Visibility**: Labour, material, and equipment costs were logged separately, making per-job profitability difficult to evaluate in real time.
- **Repetitive Data Entry**: Client details and project reference numbers had to be re-entered manually at each project milestone across multiple files.
- **No Defined Status Pipeline**: There was no formal progression tracking from quote creation through final settlement.

# 03: The Solution

## A Google Sheets ERP Built Around Their Workflow

Flowbetta built a custom ERP system directly inside Google Sheets using Google Apps Script. The system consists of three interconnected files — each handling a distinct function — that communicate dynamically so data entered once is automatically reflected across all three.

### Files Overview:
1. **ERP Master File**: The central project ledger consolidates client details, stage status, and financial summaries automatically.
   - Structured project ID sequencing
   - Consolidated client and address records
   - Quote amounts and status tracking
2. **BPU Quoting & Invoice Engine**: Allows for dynamic creation of quotes and invoices by selecting project IDs and items from a standardized price catalogue.
3. **Expenses & Cost Tracking**: Records daily expenses and logs them by project, syncing to the master ledger.

### Cross-Sheet Data Flow:
- Data entered in the quoting or expense sheets synchronizes with the corresponding project row in the ERP master.
