Imona Logistics and Avesto LLC are two U.S.-based freight and trucking operations founded by brothers. Each company operates an active fleet of 15 professional drivers (30+ drivers combined) handling interstate freight movement.

At the end of each weekly pay period, dispatch management compiles itemized settlement statements for every driver detailing completed loads, gross revenue, fuel deductions, maintenance expenses, and expense receipts.

Following the successful deployment of the settlement automation at Imona Logistics, the identical system was configured and deployed for Avesto LLC, doubling the total operational time saved across the two businesses.

The Challenge

Manual settlement calculations across two trucking fleets.

Every week, management had to manually compile individual PDF settlement statements for all 30+ drivers across both companies. Each statement required filtering trip rows, calculating deductions, attaching receipt images, and exporting individual documents.

1. Filtering trip records per driver Manually isolating individual driver trips from the master dispatch spreadsheet for each fleet.
2. Calculating gross earnings & deductions Summing mileage, gross load rates, fuel deductions, and net payouts for 30+ drivers.
3. Locating expense receipts Matching fuel and maintenance receipt photos to corresponding deduction lines.
4. Document formatting & layout Arranging tables, driver metadata, and receipt attachments into document templates.
5. Manual export & distribution Saving PDFs individually and emailing them to each respective driver.

The script automatically queries completed trips from the master sheet, computes net pay, and populates the settlement sheet.

Receipt Embedding

Enables inserting receipt images directly alongside corresponding fuel or maintenance expense entries.

Direct PDF Generation

Generates formatted PDF settlement files and automatically saves them into organized Google Drive folders.

Centralized Hyperlinks

Generated PDF drive links are recorded in the master sheet for convenient reference and record-keeping.
